Run full truck load operations · Chapter 3 of 4

Load, dispatch and manage an FTL journey

A dispatch records what actually leaves, not what someone hoped to load. Check the physical load, documents, resource and receiving plan immediately before departure. During transit, respond to meaningful exceptions without encouraging unsafe driver interaction. Preserve changed instructions and external document acknowledgements. Tracking supports awareness, but location freshness and uncertainty must remain visible; a map animation cannot establish custody or delivery.

Your learning goals

What you’ll learn

  • Confirm actual load and departure.
  • Handle changed resources and route instructions.
  • Use tracking with its evidence limits.

Useful terms

Dispatch
The controlled release of actual goods and resources into movement.
Telemetry
Device or provider observations that may be delayed or incomplete.

Step-by-step operating routine

  1. Confirm load and safety

Check package or load quantity, condition, weight evidence and secure loading with trained staff. Resolve discrepancies before release. Apply lawful limits and the vehicle’s handling requirements rather than treating software capacity as permission.

    Record or confirm
    • Loaded quantity
    • Condition
    • Weight evidence
    • Safety check
  2. Check the movement papers

Ensure the driver has the correct booking, invoice or challan, statutory movement reference where applicable and site instructions. Confirm papers refer to the actual goods and assigned equipment.

    Record or confirm
    • Document pack
    • Source reference
    • Vehicle
    • Receiving contact
  3. Record actual departure

Save departure time, resources and the loaded quantity. A repeated submission must not create another movement or double the load. Keep the planned departure for comparison rather than overwriting it with actual time.

    Record or confirm
    • Actual time
    • Vehicle / driver
    • Quantity
    • Dispatch reference
  4. Manage transit exceptions

Use fresh observations and safe communication to investigate delay, breakdown or changed receiving arrangements. Assign an owner, next action and review time. Record an estimate as an estimate, including its basis.

    Record or confirm
    • Exception
    • Observation time
    • Owner
    • Recovery plan
  5. Review changes before continuation

If changing vehicle, route or carrier, check readiness, custody handover and any required external document action. Preserve the old assignment and effective time so the actual journey remains reconstructable.

    Record or confirm
    • Change reason
    • New resource
    • Handoff evidence
    • External update
Worked example

A breakdown and a substitute truck

After departure, a truck becomes unfit to continue. The team prioritises safety, arranges approved replacement capacity and records the actual goods handover and condition. Relevant movement records are updated through the required process. The original resource and breakdown history remain visible; simply editing the vehicle name would lose the journey evidence.

  • Preserve both assignments and times.
  • Count and inspect the transferred goods.
  • Verify required external updates separately.

Exceptions and mistakes to avoid

  • Never ask a driver to operate the app while driving.
  • Do not backfill a departure time to hide a missed cutoff.
  • A stale or missing tracker reading must not be labelled live.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Does a position near the receiver prove delivery?

No. Delivery requires acceptance evidence and the actual quantities received.

What must survive a vehicle change?

The original and new resources, effective times, custody handover, reasons and required statutory acknowledgements.
