Ask AI useful questions and review its proposed actions

AI can reduce search and explanation work when it uses the right records. It should state the scope and period, link evidence and admit when data or access is insufficient. It must not answer beyond the user’s rights or invent a destination button. The owner can ask broader questions within authorised organisation data; a finance user remains limited by role and scope. Treat proposed actions as reviewable changes, not a licence for unrestricted database access.

Your learning goals

What you’ll learn

  • Ask specific questions with scope and time.
  • Verify answers and links against records.
  • Review actions with fresh permissions and state.

Useful terms

Grounding
Using relevant permitted source evidence to support an answer.
Proposal
A suggested change requiring the applicable review and execution controls.

Step-by-step operating routine

  1. Frame the question precisely

State the date range, facility, service and desired result. Ask for outstanding quantities or source-linked obligations rather than vague praise. Avoid secrets and unnecessary personal information in prompts.

    Record or confirm
    • Question
    • Date range
    • Facility
    • Service
    • Desired result
  2. Check the permitted source set

Confirm the answer uses only authorised organisation records and fields. Test a role-specific question with a known sample. Lack of permission must not be bypassed by phrasing the question differently.

    Record or confirm
    • Role
    • Scope
    • Expected sources
    • Restricted fields
  3. Inspect evidence and uncertainty

Open the cited records and compare amounts, quantities and dates. The response should distinguish missing data, estimates and confirmed facts. Report unrelated links or unsupported confidence with the question and permitted evidence.

    Record or confirm
    • Source links
    • Totals
    • Period
    • Unknowns
    • Issue note
  4. Review an action proposal

Check affected IDs, operation, consequences and approvals. Before execution, recheck permissions, current revisions and eligibility. A plan downgrade or changed record after proposal creation may invalidate it.

    Record or confirm
    • Affected records
    • Action
    • Revision
    • Entitlement
    • Approver
  5. Verify the actual result

Reopen source records and history after an approved action. Confirm one intended effect and no duplicate side effects. Keep failures recoverable and bounded. Do not treat AI’s narration as proof that a transaction committed.

    Record or confirm
    • Execution result
    • Source state
    • Audit history
    • Duplicate check
Worked example

A POD question with a changed record

An owner asks for delivered bookings awaiting POD approval in the past week. The answer links the matching records. Before a suggested follow-up runs, one POD is approved elsewhere. Execution must recheck the current state and avoid applying an obsolete action to that booking.

  • Use the stated week and permitted scope.
  • Open sources rather than trusting narration.
  • Recheck state when the action executes.

Exceptions and mistakes to avoid

  • AI must not expose another tenant, payroll outside scope or integration secrets.
  • A CTA must lead to the correct permitted destination, not an unrelated page.
  • Upgrade suggestions should explain actual capability value without invented urgency or data-loss claims.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Can an AI answer replace record verification?

No. Check supporting records, especially before operational or financial action.

Why recheck permissions after a proposal?

Role, plan, scope and record state may change before execution.
