Check vehicle and driver documents before assignment

Readiness is a decision for a specific movement at a specific time. A truck may exist in your records yet be unsuitable for its route, goods, load or driver. Keep registration, fitness, insurance, permit, tax and pollution documents as applicable, with dates and review ownership. Verify driver licensing and authorisation for the actual vehicle and work. Current requirements and exceptions must be confirmed with the competent transport authority; this chapter deliberately avoids universal fee tables or permit durations.

Your learning goals

What you’ll learn

  • Check documents against the actual route and vehicle.
  • Separate expiry reminders from assignment approval.
  • Apply the same readiness standard to hired capacity.

Useful terms

Readiness
A current assessment that a resource may perform the proposed work.
Grounding
An operating restriction preventing a vehicle from being assigned.

Step-by-step operating routine

  1. Identify the exact movement

Record the vehicle class, load, goods, route and dates. Include interstate segments, site restrictions and equipment needs. Document suitability matters alongside certificate validity.

    Record or confirm
    • Registration
    • Vehicle class
    • Goods
    • Route
    • Movement dates
  2. Review applicable vehicle evidence

Verify current registration, fitness, insurance, permits, taxes and pollution evidence as applicable. Check coverage and jurisdiction, not just the expiry date. Capture who reviewed the evidence and where the source can be verified.

    Record or confirm
    • Document type
    • Reference
    • Valid period
    • Coverage / area
    • Reviewer
  3. Review driver suitability

Confirm licence category, validity, contact and required authorisations or training. Ask about current availability and safe fitness for duty. Limit access to sensitive identity documents to staff who need them.

    Record or confirm
    • Driver
    • Licence class
    • Validity
    • Availability
    • Verification owner
  4. Check physical and scheduling readiness

Inspect reported defects, maintenance restrictions, trailer coupling and overlapping work. A valid permit does not repair a critical defect or make one driver available for two simultaneous trips.

    Record or confirm
    • Defect status
    • Maintenance block
    • Trailer
    • Assignment overlap
  5. Record the go / hold decision

Assign only after the appropriate checks pass. A hold must identify its reason and owner. Renewed paperwork or completed repairs should be verified before release; never backdate a check to disguise a missed requirement.

    Record or confirm
    • Decision
    • Hold reason

    • Evidence
Worked example

Valid dates, wrong operating area

A market truck offers a certificate that appears unexpired, but the proposed interstate route is outside the reviewed operating permission. Dispatch asks the carrier and competent authority to confirm the appropriate authorisation before assignment. Separately, an open critical tyre defect still blocks readiness even after the document issue is resolved.

  • Check area and vehicle applicability.
  • Treat document and mechanical readiness independently.
  • Retain the release decision and evidence.

Exceptions and mistakes to avoid

  • An expiry alert is not a legal verification service.
  • Do not accept a cropped photo that hides document identity or coverage.
  • A different tractor or trailer requires its own relevant checks; do not silently inherit another unit’s evidence.

Assignment readiness sheet

Complete for the proposed movement. If a document expires during the operating period, review the consequence before committing the resource.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Is a current insurance date enough?

No. Review the insured resource, coverage, exclusions and suitability for the contracted work.

Who can release a grounded truck?

The authorised owner of the readiness process after reviewing corrective evidence, not anyone who edits a status.
