Transfer PTL freight through crossing partners

A crossing partner carries or handles freight on a segment of your service. The transfer changes who is responsible for the goods, but it should not break the original booking history. Agree identifiers, quantities, condition, receiving evidence and commercial terms before the handoff. A crossing invoice or partner charge does not prove the goods physically arrived. Reconcile the custody event and the financial obligation independently.

Your learning goals

What you’ll learn

  • Define the partner’s actual movement segment.
  • Preserve original booking and package references.
  • Separate transfer evidence from partner charges.

Useful terms

Crossing
A partner handoff or transport segment under agreed operating terms.
Transfer manifest
A list of goods intended for a defined handoff or movement.

Step-by-step operating routine

  1. Agree the partner segment

Record the partner, origin, onward point, service window and responsibility. Confirm goods compatibility and operating capability. Decide how the partner will reference your bookings and communicate exceptions.

    Record or confirm
    • Partner
    • Segment
    • Service window
    • Responsibility
    • Reference mapping
  2. Prepare the transfer manifest

List original booking and package references, quantities, condition and handling instructions. Distinguish planned pieces from actual handover. Give the partner only the information needed for its permitted work.

    Record or confirm
    • Manifest
    • Booking IDs
    • Package IDs
    • Quantity
    • Condition
  3. Record actual handover

Count accepted pieces with the responsible parties, capture time and custody evidence and retain rejected quantities. A signature on a total without booking detail may be insufficient to investigate a later shortage.

    Record or confirm
    • Handed quantity
    • Accepted quantity
    • Time
    • Evidence
    • Custodian
  4. Reconcile destination receipt

Compare what the partner carried with what the receiving point accepts. Record shortages, damage and unknown goods. Keep the unresolved quantity assigned to a responsible location or investigation owner.

    Record or confirm
    • Expected receipt
    • Actual receipt
    • Discrepancy
    • Owner
  5. Review the crossing obligation

Apply accepted rates and eligible quantities, then approve the charge or invoice under policy. Link it to the transfer and retain disputed items. Prevent repeated partner imports from posting the same charge twice.

    Record or confirm
    • Rate basis
    • Eligible quantity
    • Source transfer
    • Approval
    • Dispute
Worked example

50 transferred, 48 received

A partner accepts 50 labelled cartons and the destination counts 48. The original bookings still show two unresolved cartons associated with that segment. Finance reviews the agreed crossing charge and any dispute separately. Paying the partner or accepting its invoice does not erase the shortage.

  • Match original booking references.
  • Preserve handover and receipt evidence.
  • Keep the two-carton discrepancy open.

Exceptions and mistakes to avoid

  • Do not merge the partner’s external references into unrelated local bookings.
  • A partner upload needs validation and duplicate protection.
  • Do not infer custody from a paid crossing invoice.

Check your understanding

Try answering first, then open the explanation. Use the worksheet and source records to practise the task.

Does a crossing invoice prove receipt?

No. It is a financial document; custody requires its own actual handover and receiving evidence.

What must survive a partner transfer?

The original booking and package identities, quantities, condition, times and accountable custody history.
