What you’ll learn
- Separate booking identity from package identity.
- Capture payer and payment timing explicitly.
- Reconcile booked and received quantities.
Useful terms
- LR
- Lorry receipt or consignment reference under the operating and commercial process.
- Package ID
- A stable identifier for a tracked physical piece or defined quantity.
Step-by-step operating routine
Capture the commercial booking
Record consignor, consignee, payer, route, goods and accepted terms. State Paid, To-Pay or TBB as the agreed payment arrangement. Do not assume the receiver pays merely because goods are sent to it. Have the responsible reviewer confirm required goods forwarding-note and receipt particulars for your legal model; an internal booking reference is not automatically a compliant statutory document.
Record or confirm- Parties
- Payer
- Payment arrangement
- Route
- Goods
- Required receipt particulars
Record the quantity and measures
Specify package count, packing, actual or verified weight and dimensions where needed. Keep unknown measures explicit. A booking of 20 cartons should not become 20 tonnes through a missing unit.
Record or confirm- Count
- Packing
- Weight / unit
- Dimensions / unit
Issue and attach stable labels
Use supported label and scan formats. Make identifiers readable and linked to the booking. Define replacement-label handling so reprinting does not create another physical piece or orphan the original history.
Record or confirm- Booking reference
- Package IDs
- Label format
- Reprint reason
Accept actual goods into custody
Count and inspect the received pieces with the appropriate staff. Record shortage, excess, damage or unknown identity before treating the consignment as fully received. Retain the actual receiving location and time.
Record or confirm- Received count
- Condition
- Location
- Receiver
- Time
Prepare the onward handoff
Give planning the available pieces, handling restrictions and destination. Hold unidentifiable or restricted goods for review. Reconcile the booking total against received and still-unreceived quantities.
Record or confirm- Available quantity
- Held quantity
- Destination
- Handoff owner
20 booked, 18 accepted
A shipper books 20 cartons, but pickup accepts 18 and records two not received. The 18 labelled cartons become available for planning. The missing two do not appear as phantom warehouse stock. If they arrive later, they enter through a documented receipt tied to the original booking.
- Keep booked and received counts separate.
- Retain the unreceived balance.
- Prevent label reprints from creating extra pieces.
Exceptions and mistakes to avoid
- Duplicate scans should not double the accepted quantity.
- An unknown carton needs investigation rather than assignment to the nearest matching name.
- Paid is not proof that a payment was received; verify the financial event.
PTL acceptance sheet
Count physical pieces and link the exception evidence before releasing quantity to planning.
| Booking | Booked pieces | Accepted pieces | Unreceived / held | Location |
|---|---|---|---|---|
| LR 001 | 20 cartons | 18 cartons | 2 not received | Origin branch |

Check your understanding
Try answering first, then open the explanation. Use the worksheet and source records to practise the task.
Is an LR the same as an invoice?
No. Booking, movement, statutory documents, invoice and delivery evidence have distinct purposes and references.
Can a reprinted label increase quantity?
No. It represents the same physical piece and should retain its identity history.

Official references and current requirements
